Ordering Calendars: What Information Do We Need?

Calendar season is approaching again, and here at Beaver Creek, we’d like to share a few tips and guidelines to help make the ordering process as smooth and stress-free as possible. Whether you’re a long-time customer or new to ordering calendars with us, this guide will help ensure everything goes off without a hitch.

Are You a Repeat or New Customer?

Repeat Customer?

If you’ve ordered calendars from us before—whether last year or even several years ago—we likely still have your past calendar information on file. That gives us a great starting point and makes setup quicker.

To submit updates:

  • Mark changes directly on your previous calendar and send a scan or photo.

  • Or, create a spreadsheet with your new info (birthdays, anniversaries, memorials, etc.).

  • Send the file to us via email or WhatsApp.

We’ll update your calendar and send you a digital proof so you can review, make corrections, and approve it before printing.

New Customer?

Welcome! The process is just as simple. If you have a previous calendar from another provider, feel free to mark it up and send us a scan or photo. Alternatively, you can create a spreadsheet listing:

  • Names

  • Birthdays

  • Anniversaries

  • “In Memory” dates

  • Any other information you'd like included

Once we have your data, we’ll design a draft layout and send you a digital proof. You’ll have the chance to review and request changes until it looks just right.


Annual vs. Perpetual Calendars

We offer two main types of calendars:

  • Annual CalendarsThese are updated each year and are the most popular choice for families and congregations. You can choose a:

    • January–December layout (standard)

    • August–July layout (ideal for school-year planning)

  • Perpetual CalendarsThese are more basic and designed to be reused for several years. They're great for slow-growing groups but not ideal for families or congregations where information changes often.


How to Place Your Order

You can order calendars by visiting our Calendar Order Page. There, you can:

  • Choose your calendar style and type

  • Upload your files or scans

  • Add notes or special requests

After you submit your order, we’ll follow up with an email to confirm and begin work on your calendar. You’re also welcome to send additional info via email or WhatsApp after submitting the order.

Note:We won’t ask for payment until your calendars are ready to ship.

Calendar Design Options

Each year we release fresh, new calendar designs to keep things exciting. To avoid overwhelming you with choices, we occasionally retire older designs.

You can:

  • Select a specific design when you order

  • Choose a mix of designs for variety

  • Request a custom design (additional charges apply)


When Should You Order? (Hint: Sooner is Better!)

To make sure your calendars arrive in time—especially for New Year or August start dates—we recommend placing your order several months in advance.

The fall season can get especially busy, and last-minute orders are common. We’ll always do our best to fulfill them, but we really appreciate early orders!

That said, if you find yourself ordering in November, don’t worry—we’ll still work hard to get your calendars to you in time.
